Education Abroad Program (EAP) Policy and Procedures
In order to assure that you have received
the proper advising before embarking on your EAP experience, it is
crucial to do a review of your file, the proposed courses to be taken
in the EAP country for appropriateness as potential major requirement
classes, and a graduation check to identify courses that must be done
in residence. It is also important to identify possible delays in
certification for graduation.
Ideally, you will have reviewed descriptions of courses at the CIE and will come prepared with those descriptions for discussion with your academic counselor. It is a waste of meeting time when you bring only course titles. You may discover courses listed at CIE that have been approved in the past. However, it is important for you to know that this is a dynamic operation and courses are constantly changing. Often faculty members other than those who wrote the original description teach the courses. For that reason, courses are not automatically waived.
The following is a suggested procedure for advising students who will be going on EAP:

The following is a suggested procedure for advising students who will be going on EAP:

- Review descriptions of courses in CIE that may potentially match
- Make copies of these descriptions
- Make appointment to see academic counselor for a review of your file at least one week before the due date for applications
- Visit the EAP Academic Planning for Social Ecology majors
COUNSELOR:
- Review course descriptions for possible appropriateness for waiver of major/breadth requirements
- Recommend coursework for EAP experience
- Review file for potential problems
- Do a grad check which shows coursework remaining when student returns to UCI including coursework that MUST be taken in residence at UCI
EXPECTATIONS:
- Any coursework taken on EAP that is to be used to potentially waive major/school requirements must be taken for a grade
- Any course identified by a counselor as a possible match for equivalent coursework at UCI must be petitioned upon return to UCI
- Each course to be petitioned will include supporting documentation. Petition form is available at www.soceco.uci.edu/ugrad/
- All petitions must include:
- at the very least a syllabus delineating the material that was covered each time the class met (note: student may have to syllabus be made up since foreign universities don't automatically use a syllabus)
- any notes, papers or exams
- the title, author, edition and year published of text(s) used it is also helpful to faculty member reviewing materials to copy the table of contents of text and highlight chapters covered
IMPORTANT NOTES
- A maximum of five (5) courses may be used toward completion of major/school requirements regardless of how many courses are accepted as equivalent
- Any course materials submitted in a language other than English will be accompanied by a synopsis in English
- Petition forms submitted with no supporting documentation will be denied
- For students going on EAP in their senior year, it is not possible to be certified for graduation in the quarter after your return to the United States. Due to the slowness with which many foreign countries make their transcripts available to the Santa Barbara campus (central EAP offices), it is not possible to assess your coursework for graduation until at least one quarter after your return--please keep that in mind when applying for graduation
- It is STRONGLY recommended that you attach Xeroxed copies of your supporting documentation; the Undergraduate Counseling Office cannot be responsible for lost materials
- Supporting documentation will be held in the Undergraduate Counseling Office and must be retrieved by the student within one quarter after filing the petition. Any materials not retrieved will be destroyed after that time
- You must file an application for graduation by the posted due date regardless of the fact that you are out of the country. The application for graduation is online at http://http://www.reg.uci.edu/studentaccess/ If you are concerned that you may forget to apply by the deadline, apply for graduation before you leave the country.
